      Payroll in the UK is required to operate the government’s Pay As You Earn (PAYE) tax system. It's your responsibility as an employer to accurately report how much your employees earn, and any deductions, to His Majesty's Revenue and Customs (HMRC).

      You'll need to process payroll prior to your employees' payday, which may be weekly, 2-weekly 4-weekly or monthly.

      If you're a medium-large enterprise, our payroll software and outsourced payroll services uncomplicate UK payroll, meaning that you can focus more on your bottom line. Although you cannot remove all your responsibility, at SD Worx we can help with many of them.

      In the UK, it's a legal requirement to keep your payroll records for at least 3 years (from the end of the tax year). If you destroy or lose your records, or they're found to be inaccurate, you could receive penalties from HMRC. It is often prudent to keep records for at least 6 years plus current.

      Payroll service costs will vary depending on the size and complexity of your organisation. The larger your business and the more employees payroll have to process the more your payroll services will cost.

      In general, businesses are charged a fee per employee processed per month (PEPM), or per payday, depending on your payday frequency.

      You can keep up to date with UK tax and National Insurance legislation through HMRC.

      The UK PAYE payroll process involves the following steps:

      • Register as an employer through HMRC (and obtain a PAYE online login).
      • Select a payroll software or service provider. This is so you can keep track of employee details, salary, deductions to report this to HMRC.
      • Collect and keep records.
      • Update HMRC about your employees.
      • Record pay, make deductions and report this to HMRC.
      • Pay HMRC tax and National Insurance Contributions (NICs).

      • Providing statutory rights to parental leave for maternity and paternity
      • Operating a Holiday Pay scheme
